P.A.H.S. Meeting of 9/27/2010

The meeting was called to order by Chris at 6:55pm at the PACE meeting room in Glenbrook Elementary School.

Those attending were Marian Schroeder, John Mihalko, Larry Puzen, Larry Szymanski, Harry Slezewski, Sharon Bauer, Tammy Brzeczkowski, Chris Jaworski, Dick & Bea Valley, Jim Zajac and Norine Heuser. 

The secretary’s report from the 6/21/10 meeting was read by Norine. Larry Puzen made a motion to accept the report. Sharon seconded.  Motion carried. 

The treasurer’s report was read by Larry Szymanski. The checkbook balance as of 09/27/2010 was $8,961.32. He will check with WE Energies regarding the cost of gas and electricity at the museum.   Norine made a motion to accept the report and Larry Puzen seconded. Motion carried.

Tax Reporting Update – Larry Szymanski reported the IRS said we are in compliance with their reporting requirements. He also received information regarding cash donations. Any donation of $250.00 or more MUST receive an acknowledgment from us. If a donation, is less than $250.00 one is not required.  He showed us samples of letters he received from his contact at Wipfli. Larry Puzen made a motion to give acknowledgements for ALL funds received regardless of the amount. Jim Zajac seconded. Motion carried.

Summer Hours Review – Pat emailed Chris the following:  The museum was opened from June 8th to August 26th. Tuesdays from 1-4…3-6 during the Farmers Markets, Thursdays 1-4, First Wednesday of the month 6-8pm and Polka Days Saturday and Sunday. The attendance was very good. Summer hours are now done and it will now be open by appointment only.  John Mihalko said we should consider having Saturday hours.  

Polka Day Float Review – It was a very hot day and even though we did not receive an award, it went very well. Many people who don’t normally participate in our organization helped out. People who were in the cemetery walk were on the float. 

Chase Stone Barn Update – Our newsletter has an article on the barn. So far, they have raised $140,000. Nsight Telservices has agreed to use the barn as the cover for the new phone directory. Levy Restaurant will the Stone Barn committee to work as a “back-up group” of 5 people for the Packer games. If they are used, they will get $85.00 per game. If no one is needed, they will get $35.00. This will probably start with the November games.  12% of the revenue would go to the museum because we are allowing them to use our tax ID number and the rest to the Stone Barn Foundation. 

New Business: Museum Keys – The following people have a key to the museum: Marian, Pat, Chris, Larry Szymanski, Larry Puzen, Tammy, Harry and Norine. Marian will give the spare key to Jim and she will ask Diane if she would like one. 

Museum Items – We now have a clipboard for people to sign in and sign out items. There are several items missing so this should help eliminate that problem.

Nominating Committee – Chris is the committee. Tammy, Bob and John are at the end of their terms.  Bob has advised us that he will not run for another term. Tammy & John will run for another 3 year term. We have three prospective people: Mary Holewinski, Doug Clements and Ray Mroczynski. Harry will ask Ray to become a member so he would be eligible to be on the board next year. 

Professor Bendan –The University of Wisconsin professor met with some board members on Saturday, September 25th. She brought along 4 students. They asked to use our museum as part of their semester studies. They will develop a proposal to help show us how to care for and document our exhibits. One of the students may work an internship at our museum. When asked about compensation, Professor Bendan said none was necessary but she did pay $100.00 for car rental, $45.00 for lunch and $30 for gas. Larry Puzen made a motion to give her $200.00. Tammy seconded. Motion approved. 

Grounds / Maintenance: They will check on the furnace for the winter months ahead. Larry said someone had cut the tree in the back but no one knows who it was. 

Newsletter: Marian reported the newsletter was mailed out. The postage was $112.48 but using the chamber of commerce postal permit, we will receive a refund of $57.51.

Membership: Norine reported we have one new member, Tammy & TJ Pavletich from Mahopac NY. She asked if anyone knew them, but no one did. She will check the register at the museum to see if they possibly stopped in over Polka Days. 

Public Relations: Tammy handed out a sample brochure for everyone to see and asked for any suggestions. John thought we should include a spot for people to include the museum in their will. Tammy reported we had 227 hits on our website in April of 2010 and as of today, we have 388 hits. She has updated the calendar of events, changed the photo and will add the brochure, newsletter and minutes from this meeting.  It was suggested once the brochures are finalized we should display them at the banks, chamber of commerce and on the community rack at McDonalds.

Annual Dinner Meeting:  It is set for Wednesday, October 27th at the Legion Hall. Super Ron’s will cater the meal. Our speaker will be Ruth Uelmen from Marnocha Barbers & Stylists. The PHS Jazz band may perform. Norine is in charge of the tickets. They will be available at all of the banks. Dick & Bea Valley have already displayed the posters around town. Chris will ask the membership if they would like to donate money to the Stone Barn Foundation. We will also vote on directors.

Bake & Craft Sale: This is set for Friday. October 1st from 8:30 to noon at Premier Bank. Pat, Sharon, Diane and Renee Slezewski are in charge.

Historic Structures: Larry Puzen contacted Lori Stephen from County Pride Realty to receive the 3rd annual award. 

Marian reported that Claudia Ryzckowski had framed a painting donated by Kubiak and on display in the military room. She also framed one of the Sobieski church. She donated her time and various supplies so the amount we owe is $43.84.

John checked on the microfiche machine at the bank and no one knows how to operate it. He will meet with Linda Peterson and Joan Rothe from the school to learn how to work it. He also mentioned there isn’t a copy machine nearby so you would not be able to print any information. If you go the website, badgerlink, some of the issues are there. 

Marian said the village plaque is very nice. It looks like white marble with black lettering. It will be ready for the dinner meeting. Chris will present it to the village in honor of the historical society. A stand is being made for it as well.

Next meeting: Monday, November 15th at 7:00pm in the PACE office.
