P.A.H.S. Meeting of 6/21/2010

The meeting was called to order by Chris at 7:00pm at the PACE meeting room in Glenbrook Elementary School.

Those attending were Marian Schroeder, John Mihalko, Larry Puzen, Larry Szymanski, Harry Slezewski, Sharon Bauer, Diane Wichlacz, Chris Jaworski, Pat Budz, Dick & Bea Valley and Norine Heuser.

The secretaryÕs report from the 4/26/10 meeting was read by Norine. Larry Puzen made a motion to accept the report. Harry seconded.  Motion carried.

The treasurerÕs report was read by Larry Szymanski. The checkbook balance as of 06/21/2010 was $9521.62.  Pat Budz made a motion to accept the report and Sharon seconded. Motion carried.

Tax Reporting Update – Larry reported if you donÕt file taxes 3 years in a row, you lose your tax exempt status. The 2007 taxes have not been filed because he has not received the information he needs to complete them. He has written a letter to the IRS regarding this. He is still looking into changing our fiscal year.   Baytek pledged $15,000.00 to the Stone Barn Fund over a 3 year period.  He spoke with a representative from Wipli and found out interesting facts about non-profit accounting. We should be sending letters to donors acknowledging ALL donated items. Marian said we have never put a value on the donationsÉthat is left up to the donor to decide. Larry and Norine will work on a letter using templates provided by Wipfli.  He also mentioned that the representative did not charge us for her time.

Chris said the Keller Foundation contacted him and is considering donating to the Stone Barn Fund but we need to send them the 501C3 form showing our non-profit status.  Marian will find that document.

Cemetery Report – Marian commented that it was well attended. She passed around a picture album. There will be an appreciation get together for those who participated. Marian asked the families to bring the scripts they used and she will put them together with the pictures to keep at the museum. Dick commented the cemetery looked great! $226.30 was collected at the walk but we still need to pay for printing.

Gabby Gail called and asked if we wanted to have a bake sale or ice cream social. She would advertise it at the Farmers Market. Dick suggested doing a bake sale during the market. Pat suggested doing it every week with 2 or 3 people baking one week and 2 or 3 the next.

Summer Hours – Pat said Doris has been there on Thursdays from 1 - 4.  Pat was there until 5:30 last Tuesday. With the Farmers Market, she was wondering if we should have it open from 3 - 6 or 3 - 7. She will not be able to be there after the next two weeks so she sent a sheet around to see if someone could fill the spots needed. Tammy is manning it on the first Wednesday of the month and Sharon & Diane have volunteered to be there during Polka Days.  Pat also mentioned she will be at the museum tomorrow so if any new volunteers would like to be trained, sheÕd be happy to show them.

Clean Up Day Report – Pat reported 11 people attended and everyone came with a great attitude!

It was a fun and productive day and Pat thanked all who helped.

Bake Sale – Pat reported it was held May 7th at Premier Bank with approximately $325.00 of income Carol LaCount, Pat, Diane and Sharon worked at it. In the fall, we will be adding a Craft Sale to the Bake Sale.

Packer Game Fund Raising – Chris passed out information regarding the Levy Restaurant fund raising opportunity during Green Bay Packer football games. There is an opening for 6 people to work the Club Level Action Station. Income would be $55.00 per person. This would be done for 11 games. Norine shared her experiences of working there in the past and it was decided that we would pass on this fund raiser.

Larry Puzen said the Family Fund Fest asked if we would like to work at that celebration. He also mentioned the owner of European Flavor asked if he could rent the museum lot during Polka Days. He sells various Polish cuisines. It was decided we would allow him to with some stipulations and charge either $275.00 for the two days and provide electricity or $250.00 for the two days without electricity. Larry will get back to him.

Polka Day Float – Chris said he was told they want more horses involved because of the Centennial. Larry Puzen said Gloria Morgan said she could provide a semi trailer if we wanted to use it and have the Cemetery Walk participants dress up and ride on it. Everyone thought that was a good idea so Larry will get back to Gloria.

Stone Barn Fund Raising Letter – Chris said we were asked if we would be willing to send a letter to our members signed by Chris asking them to donate to the Stone Barn. He sent around a sample letter. After discussion, Larry Szymanski made a motion to go ahead with this. Norine seconded. Motion carried. Chris and Norine will work on finalizing a letter and mailing them.   He also reported they have fixed the roof, did a site plan and some archeological work and need money to pay for this. He asked for a motion to send the money needed. John made a motion and Larry Szymanski seconded. Motion carried.

Artifacts – Chris attended a conference on April 30th at Prairie du Chien. They talked about proper storage and setup of artifacts. They said zip lock bags and cardboard boxes should not be used. They said a software program called ÒPast PerfectÓ is the program most often used to organize collections.   College students could do an internship and enter our inventory for us. Chris and John will work on a job description and get back to them. He also learned the Wisconsin State Historical Society provides grants for storage items, computers, etc and he will look further into that. 

Grounds Maintenance – Larry Puzen will check with Jim Zajac about the lights under the overhang.

Newsletter – Marian & Pat will have it done by the end of September.

Public Relations – Pat is putting articles in the Pulaski News and will put one in the Green Bay Press Gazette regarding our open hours. We will also put an ad on the cable channel.

Annual Dinner – Pat booked the Legion Hall for October 27th. John Ullmer will do the catering. She is looking into having a jazz band from the high school perform.  Ticket prices have not been decided yet. Norine will be in charge of them. Dick and Bea will go around town hanging posters again.

Historic Structures – Larry Puzen suggested we honor Country Pride Realty for the restoration work theyÕve done. Chris, Bob and Larry Puzen will look into this.

Marian said she received a letter from Positively Pulaski asking if we wanted to advertise our meetings and events. This website can be used by various businesses so organizations donÕt plan events at the same time.  Marian & Pat will look into this.

Chris said one of the 2010 Regional Meetings for the Wisconsin Historical Society will be Saturday, August 7th. It will be held in Green Bay at Hazelwood. There is a $20.00 entry and that fee will be paid by the PAHS for anyone wanting to attend.  This is a great learning opportunity.
